Electronic Health Record (EHR) Modernization to Drive Operational Efficiency & User Experience
Challenge
Richmond Behavioral Health Authority was looking to replace its legacy electronic health record (EHR) system, which was responsible for coordinating care for more than 13,000 clients annually, with a new platform that would provide greater flexibility and adaptability to meet the authority’s evolving needs. RBHA needed an expert guide to help navigate the life cycle of change from internal requirements solicitation that informs platform selection to project implementation support for key leadership.
The Case
DLG was engaged to support RBHA in sourcing and selecting a new EHR system. The team initiated the task by conducting a series of process design sessions that collected data on the lifecycle of an RBHA client, from intake and admission through treatment sessions and discharge, to create a clear understanding of their daily operations. Current and future state process maps were developed along with a comprehensive list of business and reporting requirements to aid in the creation of an RFP and to ensure the new EHR would fulfill RBHA’s needs. DLG continued by conducting a functional gap analysis to support vendor evaluations, final selection, and negotiations.
Upon completion of the selection and procurement process, DLG proposed and prepared a long-term implementation and training plan that ensured productivity and success. The new system was significantly more efficient, providing greater clarity and ease in connecting clients with insurance services, as well as enabling nurses to collect data on patients. Staff productivity increased, and business processes were streamlined while eliminating instances of redundant data entry.
